Start with a passenger list
Record adults, children and anyone who needs additional space or assistance. A single group contact makes communication easier on the travel day.
Count baggage realistically
Standard luggage becomes a large total in a group. Count large suitcases, cabin bags, strollers, golf bags and other bulky items separately.
Seats do not equal luggage capacity
A vehicle may have enough seats but insufficient storage. Ask for the vehicle class and baggage capacity to be confirmed together.
Limit and declare pickup points
Multiple hotels or terminals change the route and timing. Submit every stop in advance instead of adding it only when the driver arrives.
Share one confirmed itinerary
The group contact should distribute the route, time, meeting point and contact details to every traveller so the group remains together.
